Position Summary

Kensington, the technology division of ACCO Brands Corporation (NYSE:ACCO), has a current career opportunity to join our local team in San Mateo, CA as an Office Administrator supporting the General Manager, VP of Finance and VP of US Sales & Marketing. 

 

The successful candidate for this role is an affable, highly-competent, professionally relevant and organized, self-directed individual for this fast-paced technology space to perform a wide variety of administrative and office support duties—confidentially, at times-- by using the office system tools required to pro-actively manage calendars for efficient meetings and conference/video calls, direct internal and external inquiries to the appropriate people within the organization, manage in-coming correspondence and proof-read internal communications, prepare expense reports and reimbursements, and manage travel planning and logistics. In addition, the successful candidate will learn and help execute general office and facilities support, including event planning.  

 

ESSENTIAL DUTIES:

  • Support is provided through efficiently managing the General Manager's time, including tracking progress of current issues/projects/timelines/key KPIs -- from initial identification through final resolution, providing information necessary for decision making, representing the General Manager to a large number of groups and individuals, and managing the activities of the General Manager’s office 
  • Possess strong interpersonal skills (such as tact and diplomacy), effective verbal and written communication skills; must demonstrate a significant ability for discretion and confidentiality in the handling of sensitive issues, plus have strong time management, organizational and problem solving skills
  • Prepare regular and ad hoc correspondence and reports, as well as spreadsheets, reports, graphs, and presentations for internal and external audiences.  Continually improve technical skills to create high quality, technically savvy documents
  • Schedule meetings, record action items and publish meeting notes, answer and appropriately screen phone calls, direct inquiries to appropriate people within the organization, and manage mail
  • Reconcile invoices and help prepare for accurate payment via the A/P system(s)
  • Coordinate the gathering of information from constituencies for the General Manager's review and generates status reports
  • Timely and accurate filing of documents and maintaining organization and integrity of files, including handling confidential data within a document management strategy for the local executive team.
  • Collaborate closely with the entire Kensington executive leadership team and other ACCO Brands Executive Admins in a cross-functional manner on projects and corporate events
  • Event planning (i.e. sales kick-off events, internationl business meetings, Monthly Café/Employee Update Meetings)

 

Position Qualifications

  • HS Graduate with an AA or Undergraduate degree strongly preferred
  • At least 1-3 years of relevant adminstrative support experience, including some event planning 
  • Must have basic to intermediate Excel, PowerPoint, Word and Outlook/calendaring skills and have proficiency with technology, including internet/other research methods and sources
  • Working knowledge with arranging travel and processing expense reports
  • Must have proven ability to interact professionally with internal/external contacts and with a solution-oriented, win-win approach; diplomatically handle the most delicate situations and information with emotional maturity, confidentiality and professionalism
  • Display outstanding customer service and team orientation skills with a get-it-done, can-do attitude.
  • Must have excellent prioritization, planning, and organization skills with the ability to effectively manage and deliver to/from multiple sources/groups.
  • Establish and maintain co-operative and effective working relationships with others
  • Be capable of maintaining a fast work pace, managing multiple projects simultaneously, often under pressure.
